Library policies

AMML Patron Registration Policy

  1. Policy Statement

    AMML registration process is activated for MBRU faculty, students and staff upon joining the university. For MBRU faculty, students and staff the university ID card serves as library card. Any member of DHCA entities and DHCC community having a valid DHCC ID or License number is eligible for AMML registration. Members of DHCA entities and DHCC community are required to complete the online registration form available on the library website. A passport size photo is required to issue the library card.

    The AMML shall provide on occasion complimentary membership to access its services and resources to identified and distinguished clientele.

  2. Procedure

    1. The AMML registration and the library card enable library users to borrow materials, access e-resources and use library services. Library cards provide a means of verification of eligibility for library services and for tracking the use of services provided.
    2. Non-MBRU members registration process is activated on presentation of a DHCC ID and license number, where applicable, and completion of the library registration form. A passport photo is required to issue the Library card.
    3. Once the registration of Non-MBRU information has been processed, the card is provided to the patron to sign within 3 working days, and the library cardholders accept responsibility for abiding by the policies of the AMML. A cardholder is responsible for all use of the card, including the materials borrowed with his/her card and any charges accrued on his/her account. A cardholder is also responsible for reporting changes to the information provided at registration, including updates to organization, mobile numbers and email addresses. The card must be presented each time materials are checked out.
    4. A cardholder should report loss or theft of a library card promptly to avoid unauthorized use. A cardholder is responsible for any use of the card until the loss is reported to a library staff member.
    5. Non-MBRU members library cards are valid for a two-year period. When the two-year period has expired, the card may be renewed, provided the information related to the user''s account is updated in the library''s database. Borrowers must pay all outstanding fines to update their cards. A user must present his/her library card in order to update the account.

AMML Loan Policy

  1. Policy Statement

    All patrons shall abide by the time limit for returning library resources. Borrowers with overdue Library or interlibrary loan items or whose records are otherwise blocked won’t be eligible until their records are cleared.

    2. Library Cards

      1. Library ID card should be used to borrow library material.

      2. Patrons will be responsible for items borrowed on their librarycards/DHCC ID with library barcode. 

      3. Patrons will be responsible for items borrowed on their lost librarycards/ DHCC ID with library barcode.

      4. Lost or stolen cards must be immediately reported to the library.

    3. Borrowing

      1. Library materials are issued within the limits of the patron by borrowing category.

      2. Resources are to be issued from the library''s information desk or self-service within the library.

      3. Overnight and Weekend Loans are available for resources which are in demand and in heavy use.

    4. Self-Check Out Stations

      1. Two self-service stations are available, which allows library patrons to check out their own materials.

      2. The Library ID card is required for self-service Stations. Patrons may follow the instructions shown on the monitor screen.

    5. Reserving

      1. Library materials may be reserved only when it is on loan.

      2. Patrons will be informed through e-mail about the availability of the material.

      3. Materials which has been reserved should be collected from the library within 36 hours of receiving notification of availability, failing for which the reservation will be cancelled.

      4. A book that is on loan may be requested by placing a Recall on the item. The patron who has the book will be sent a notice alerting them to this request. Current borrower has to return the material within 24 hours after receiving the recall notice. When the book is returned, the patron requesting will be notified by email and the item will be held for 10 days. Requests for recalls may be placed at the Information desk.

    6. Returns

      1. Borrowed library material should be returned to library on or before the due date.

      2. Reminders will be sent to the patron accordingly.

      3. Notices are sent to the email address the library has on file for patrons.

      4. Borrowed library resources should be returned to the library information desk or deposited in the book collection bin on the ground floor.

      5. The library will not be responsible for the loss of items returned elsewhere other than the book deposit or the library information desk.

    7. Renewals

      1. Books may be renewed once for 15 days if there is no reservation against the particular item.

      2. An online renewal option via My Library Record is available at the library portal.

    8. Fine Schedule

      1. Fine of AED 5/- per day will be charged for overdue books.
      2. Fine of AED 15/- per day will be charged for overdue multimedia material.
      3. Late return of borrowed library items will result in suspension of the library account as per below table:
        i. More than 10 days --------------------------------1 month.
        ii. Recurrently late returns shall be subjected to suspension of library account.
    9. Lost or Damaged Resources

      1. Library Patrons shall replace lost material at his/her cost within 30days.
      2. If the patron fails to replace the resource within the stipulated time,the library will charge the actual cost of the material.

AMML Resource Development and Management Policy

  1. Policy Statement

    The Al Maktoum Medical Library Collection shall provide to patrons, a quality of current and authoritative resources in the areas of public health, medicine and related health disciplines.

  2. Procedure

    1. The Library’s core collection is to be closely aligned to support the DHCA and MBRU clinical, research and educational endeavours and mission. The AMML Collection development policy is also developed in line with the information needs of clientele and the Academic and research programs of DHCA and MBRU.
    2. The Collection is developed according to the Standards for Medical Libraries and Libraries serving Dental and Medical Education programs, of the Medical Library Association and the ALA Standards for Libraries in Higher Education.
    3. The Collection falls primarily within the subject scope as outlined in the National Library of Medicine Classification Scheme, (NLM) which is the international classification for medical libraries and the classification system used at AMML.
    4. The emphasis of the Collection format will be on Electronic resources, however, print resources will also be developed.
    5. The AMML Medicine and Public Health Collection will be in English.
    6. An Arabic collection relevant to the work of the MBR-AMC housed in the MBR-AMC Rotunda will not constitute part of the AMML Collection.
    7. The AMML Collection comprises e-resources, including E-books, journals and databases, print resources, books and journals and multi-media.
    8. A special collection of rare books is also to be developed and maintained.
    9. The Collection will include electronic reference works and a wide selection of resources within the ambit of general reference such as Atlases and Thesauri.
    10. The AMML Collection development will be conducted throughout the calendar year. Evaluation will be conducted on an annual basis.
    11. Selection of Resources is within the responsibility of the AMML Library Manager, or designate. The Library Manager will also liaise with Faculty and clientele and elicit feedback via suggestions and surveys, to build the Collection.
    12. SELECTION CRITERIA AND EVALUATION OF RESOURCES

      1. The following factors are to be considered when selecting and evaluating the Collection:

        1. Academic need.
        2. Publication Date.
        3. Format.
        4. Review and feedback.
        5. Cost.
        6. Other factors will include accessibility of the resource to number of clients.
        7. Duplicate copies will be maintained where applicable.
    13. GIFTS AND DONATIONS

      1. Gifts of books or other materials are to be included once they meet the criteria of the AMML Collection Development Policy.
      2. Donated items may be added to the Library''s collection or discarded if deemed necessary.
      3. Library materials will be accepted once a listing is provided. Materials will then be examined by the Library Team.
      4. Publications donated must be unconditional, transferring ownership and all rights of ownership to the library. Before any donation is accepted by the Library, a Donation Form must be signed by the donor and the Chief Librarian or the Chairperson of the Library Committee. The Donation Form transfers ownership of the gift to the Library, and clarifies the conditions of this policy.
    14. COLLECTION MANAGEMENT

      Print resources will be maintained for research purposes and weeded according to relevancy, information needs as identified and storage capacity. Weeded resources will be recorded. All new editions of publication will be added to the Collection.

AMML Alumni Services Policy

  1. Policy Statement

    MBRU Graduates are eligible to access AMML onsite resources and services.

  2. Procedure

    1. Borrowing

      1. Alumni may use any physical library material and electronic resources within the library.
      2. Alumni are not provided with circulation privileges.
      3. Alumni have full access remotely to electronic resources for one year.
    2. Online Access
      1. While on campus, unlimited access to online resources is available for Alumni.
      2. Access to databases is intended for Alumni exclusively. Alumni may not share the username or password with others.
    3. Reference HelpReference and information staff can:
      1. Assist alumni in using the online catalogue.
      2. Answer questions about locations of library materials.
      3. Make referrals to appropriate library collections and services at AMML.
      4. Provide brief research assistance.
    4. Document Delivery ServiceMBRU alumni may place request for journal articles available from collaborating libraries. Use online article request form available on the AMML portal
      1. Electronic format is available in many cases.
      2. Article requested will be delivered upon receiving it from the collaborating library.
    5. Scanning, Photocopying and Printing

AMML Access to Services

  1. Policy Statement

    1. Patrons have a responsibility to adhere to the Libraries policies and Code of Conduct, as outlined:

      1. Patrons should not disclose authentication details provided for use of online resources.
      2. Patrons should adhere to Acceptable/Fair use of resources.
      3. Acceptable fair use of resources of AMML can be summarized in the table under 7.1 in the procedure.

    2. Patrons who do not comply with the Library Acceptable Use policy, or who do not comply with the conditions of fair use, may have their Library access privileges revoked.

    3. Failing to comply with this Policy may result in:

      1. Suspension of library entry rights.
      2. Suspension of borrowing rights.
      3. Other action deemed appropriate.
    4. BORROWING

      1. Registered Patrons are required to use the Library ID Card for borrowing.
      2. Patrons are required to return all library items on time.
      3. Patrons are required to pay all fines or charges to the Library.
    5. FACILITY

      1. Visitors are required to provide ID and report to the Library Security prior to entering the library. A Visitor log is maintained for this purpose.
      2. Water/tea or coffee is allowed in designated areas.
      3. Patrons may use areas designated for Patrons by Patron Category. Study lounges are designed for use by all Academia, Faculty and Residents of MBRU.
      4. Patrons are required to switch off mobile phones and other devices.
      5. Patrons are required to treat Library staff and other library patrons with respect.
      6. Patrons are required to not engage in activity which will be a nuisance or create a noisy environment for other patrons.
      7. AMML provides access to electrical outlets in order to power approved devices, including laptop computers, devices loaned to users by the library, and other mobile devices. Outlets may not be used for powering small appliances, or any other electrical device that may pose a hazard to library equipment, facilities, and collections.
      8. Electrical cords and power strips attached to approved devices may not be draped across aisles, or arranged in any fashion that constitutes a personal hazard or that obstructs the use of identified emergency exits and/or fire doors.
      9. Patrons may not unplug library equipment in order to access an outlet for personal use.
      10. AMML is not responsible for the security of personal belongings brought into library facilities. The library encourages its patrons to take every precaution to ensure the safety of personal belongings. Lockers are provided for storage of personal items.
    6. SAFETY

      1. Patrons are to be guided by all MBRU and DHCC health and safety regulations that are in place.
      2. Patrons must observe guidelines for fire safety and instructions from the designated fire warden.
    7. ACCESS

      1. Visit the library site at http://library.mbru.ac.ae.
      2. Login with the Login Name and Password (PIN).
      3. Use the Library Catalogue to search resources.
      4. Use smart search to search multiple databases simultaneously.
      5. Use the A-Z Journal list to search journals.
      6. Use the Database tab to access available electronic resources.
